Free Airbnb linen inventory spreadsheet and browser template

Download a blank CSV linen inventory template or calculate in your browser. Track five stock states, a minimum target and separate clean-readiness and stock gaps.

Use this resource

Download a free blank CSV or use the browser worksheet without an account. Record each property or shared pool by item and size, separating clean, in-use, dirty, in-laundry and unavailable stock. The worksheet calculates inventory and clean-readiness gaps; unknown counts stay blank. CSV exports contain values, not a live Excel workbook.

Download the blank template or use the worksheet below

The CSV file opens in spreadsheet software and contains blank input columns with no customer data. The browser worksheet calculates gaps as you enter counts and exports its current values as CSV. The downloaded CSV contains values and column headings, not live spreadsheet formulas. No account is required. Worksheet entries stay in page memory and are lost on reload unless you export them.

Understand the columns before entering a count

Identify the physical stock boundary and use consistent type and size names, as the supplier’s storage guidance suggests. If two properties share a cupboard, record that pool once. Airbnb’s guest-essentials guidance can inform the setup you promise; your own rotations and contingency determine the inventory target.

Two gap calculations answer different questions

Serviceable stock = clean + in use + dirty + in laundry. Stock gap = max(0, minimum target − serviceable stock). Clean readiness gap = max(0, arrival demand + protected clean reserve − clean stock). Unavailable items appear only in the total physically accounted quantity.

For example, eight clean, six in use, four dirty, two in laundry and one unavailable item gives 21 accounted and 20 serviceable. A minimum target of 24 leaves a stock gap of four. Arrival demand eight plus reserve two leaves a clean readiness gap of two. These are illustrative inputs, not a universal towel or sheet target.

Enter zero only after confirming a zero count. Leave an unknown blank; the affected result will say Needs count. The inventory target already includes any chosen stocking contingency, so the protected clean reserve is not added to that target a second time.

Add formulas if you continue in Excel or Google Sheets

In the supplied CSV layout, stock states are E:I, minimum target is J, accounted total is K and serviceable total is L. For row 2, use =IF(COUNT(E2:I2)<5,"",SUM(E2:I2)) in K2 and =IF(COUNT(E2:H2)<4,"",SUM(E2:H2)) in L2. Stock gap in M2 is =IF(OR(L2="",J2=""),"",MAX(0,J2-L2)).

With arrival demand in N and clean reserve in O, readiness gap in P2 is =IF(OR(E2="",N2="",O2=""),"",MAX(0,N2+O2-E2)). Apply whole-number input validation at zero or above. Spreadsheet software can use localised function names or separators. These formulas are instructions to add, not a claim that a CSV preserves workbook formulas.

Use a dated forecast when the snapshot stops being enough

A spreadsheet snapshot does not know the sequence of future stays or when laundry will actually return. Review reservation records before entering arrival demand: Airbnb calendar exports may include blocked dates as well as stays. WashSage currently accepts reviewed file snapshots; it does not poll private calendar URLs. Use the free par calculator for an initial stock policy and Linen Forecast for the dated sequence.

Use one row per property or shared pool, item type and size. Counts are whole numbers from 0 to 100,000. A blank stays unknown. Entries stay in this page until reload; export to keep them.

Stock gap compares serviceable inventory with your chosen target. Clean readiness gap compares confirmed clean stock with demand plus reserve. Future laundry returns are not clean yet. This worksheet does not save to Workspace or sync bookings.

Using the checklist or worksheet

Does the CSV update itself when bookings change?

No. It is a manually maintained snapshot. The browser template calculates from entered values, while dated bookings and expected laundry returns belong in Linen Forecast.

Do I need an account or payment to download it?

No. The CSV and browser worksheet are free without registration. A free verified account is needed only for private persistent Workspace records.

Sources and scope

Stock examples use stated policies and hypothetical counts. Check your own physical inventory, confirmed booking needs and preparation deadlines; expected laundry stays separate until received and inspected. Report a correction with the page and supporting source.

Optional measurement is off until you allow it. WashSage can count public page views, coarse traffic sources and tool actions in daily totals. It sends no form values, full referrer URLs or visitor identifiers. You can turn it off here at any time.
