Airbnb linen inventory checklist: count every stock state

Use a printable linen stocktake checklist for clean, in-use, dirty, in-laundry and unavailable items. Reconcile by property or shared pool, item and size.

Use this resource

Count each physical linen item once, by property or shared pool, item type and size. Separate clean, in-use, dirty, in-laundry and unavailable quantities. Record when and by whom the count was made, reconcile differences, and assign an action before declaring the next arrival ready.

Before counting: set a boundary and a timestamp

Choose the property or shared pool being counted, record the date and time, and identify who will reconcile laundry in transit. Keep bed-size groups and product dimensions consistent. Vision Linens’ checklist supports organising by type and size. Do not add a complete set count to component counts from the same bed: that would count the same pieces twice.

  • Name the property or shared pool and stock locations.
  • Record the count time and person responsible.
  • List item type and size using consistent names.
  • Agree how supplier dispatch and receipt records will be checked.

During counting: give every item one state

Use the following state definitions throughout the stocktake. Keep an expected delivery out of clean stock until it has actually returned and passed inspection. An item reported missing is a reconciliation difference, not a physical item in the unavailable pile.

  • Count sheets, covers, pillowcases and towel types separately.
  • Record each shared-pool item only once.
  • Check remote storage, prepared beds and bags waiting for collection.
  • Match items at the laundry to current dispatch records.
StateWhat to record
CleanReceived, inspected and ready to prepare
In useCurrently fitted or assigned to an occupied setup
DirtyAwaiting the permitted laundry process
In laundryActually dispatched or in an active wash process
UnavailablePhysically present but damaged, quarantined or otherwise not usable

Inspect before approving the clean column

Airbnb’s between-guest guidance calls for fresh, clean bedding and towels. Check the actual linen for stains, tears, worn elastic, incomplete sets and unresolved dampness. Record rejected items separately and identify the permitted treatment or replacement action. A supplier receipt or finished wash cycle alone is not the inspection result.

  • Check condition and complete dryness.
  • Record rejected items in unavailable stock without duplicating them.
  • Note damaged versus missing quantities separately.
  • Assign a person and follow-up action.

After counting: reconcile differences and check readiness

Compare the new snapshot with your previous stock record, receipts, disposals and transfers. Investigate a difference before creating a count correction. Keep the explanation, rather than silently changing a balance. Then compare serviceable stock with the chosen inventory target and clean stock with the actual next arrival. Airbnb essentials guidance informs the guest setup, not a universal replacement target.

Using the checklist or worksheet

Can I count stock that several properties share in every property?

Record one physical count under the shared pool and link the properties to it. Copying the same cupboard stock into each property total creates duplicate availability.

Does a stocktake replace a turnover checklist?

No. A stocktake establishes a physical snapshot; a turnover checklist records the work and sign-off needed before an arrival. Use each for its own purpose.

Sources and scope

Stock examples use stated policies and hypothetical counts. Check your own physical inventory, confirmed booking needs and preparation deadlines; expected laundry stays separate until received and inspected. Report a correction with the page and supporting source.
